This SaaS client knew backlinks were important for their SEO, but outreach was slow and inconsistent. Their team were sending manual emails when they had time, with no central record of who had been contacted and what the reply was.

The challenge

  • No structured process for finding new outreach prospects.
  • Manual research for each site and contact email.
  • Manually written emails that varied in quality and tone.
  • Hard to see which sites had replied, what they charged or how strong their traffic was.

What we built

  • A competitor gap process that pulls in websites and pages that link to similar tools but not yet to this client.
  • Automated scraping of each prospect domain to pull basic traffic and authority metrics using DataForSEO or similar APIs.
  • Email discovery using Hunter to find likely outreach contacts for each site.
  • Dynamic email generation using OpenAI so each email references the site and stays on brand.
  • An n8n workflow that sends the initial outreach email, follows up if there is no reply and reads replies.
  • Replies parsed and written into a central table showing domain, traffic, authority, price and any notes.
